The Big Event Media Partner Program · For Conference Organizers

InHouse

One crew. Your whole show can hire it.
You add a revenue stream.

InHouse makes Big Event Media your event's official on-site Photo and Video Partner. Your sponsors, speakers, and attendees hire our crews at insider rates at a two hour minimum with no travel fees, and your event gets the content, the perk, and a revenue line at no cost.

01 · The offer

Two moves, and your show has a photo and video desk.

1

You name us partner

We become your named, official on-site Photo and Video Partner: the InHouse team for anyone at your event who needs a shoot.

2

You give us email real estate

A slot in event comms you were already sending. "Need photo or video at the show? Book our official partner here." We write the copy.

3

It costs your event nothing

There is no fee to you. We are paid by the people who book us, and your event gets the content, the perk, and the reach for free.

02 · Why your people can actually book us

Two hours. Not eight.

Hiring a crew for a conference normally means an eight hour project minimum plus travel. For a sponsor who wants their booth covered for an afternoon, or a speaker who wants their session filmed, that math never works. Even local teams quote it that way.

Booking us any other way 8 hrs Project minimum, plus travel fees, plus hotel
Booking us at your event 2 hrs No travel fees, and still our premium crews

Getting a crew to your city costs the same whether one person books us or twenty. One booking has to carry all of it, which is exactly why a two hour job normally isn't possible. Twenty bookings share it, and they share the perks that come with that scale too, like on-site editors and same-day turnarounds. So we take the travel fees and the eight hour minimum off the table from the start, before a single booking comes in. That isn't a favor, it's a bet we've already run the numbers on. And none of it requires your event to hire us for anything.

"We never get the photos or the videos of our sessions. I can't hire a videographer on my own, they're too expensive."

03 · How the comms work

Three touchpoints. We write them.

You never have to write a word. We provide the copy for every send, your team drops it into emails already going out.

We are introduced as your official Photo and Video Partner, and early booking opens for speakers and sponsors.
1 month out
Advance bookings come in, which lets us plan crew coverage and pre-fill the on-site schedule.

One show. 16 very different clients.

A premier sponsor booked our expert crew for the full day at the Four Seasons and commissioned three overnight edits, turned around before the next morning of the show.

"Big Event Media offered a turnkey experience, from booking and scheduling to onsite execution and final deliverables. We felt like we had a true partner from the first conversation and together developed a strategy to ensure that wide ranging expectations would be met. We appreciated the fact that a set hourly rate was established without minimums or travel costs, which made it easy for us to offer this service as an add on for exhibitors to ensure their event investment would be captured for posterity and marketing. The team was discrete onsite and the edited content was delivered ahead of schedule."

06 · Your page, in your brand

We build the booking page. In your brand.

Every InHouse partner gets a booking page we design, build, and host, with the option of building it to your brand guidelines: your colors, your type, your photos, named "Your Org Name" InHouse. Below is the real one we built for HLTH, live right now. Scroll inside the frame.

bigevent.media/hlth

Your team approves it, your site links to it, and we handle everything behind it. Zero build on your side.

07 · The difference

Every client gets the attention of a private booking.

What we keep hearing about other programs

A sponsor recently told us about doing this with another company. The crew's real client was the event. Their booking was a side job squeezed between the organizer's shot list, and they felt it. That is the failure mode of a partner program, and it is the thing we build against.

At RISKWORLD we served the lead sponsor with expert crews and overnight edits while smaller bookings were covered by our standard photographers, each matched to exactly what that client needed. Every one of them walked away satisfied. Whoever books us at your show gets a crew assigned to them for those hours, at the tier they chose, and the work is theirs.

08 · Your revenue

InHouse can pay your event.

Add your own production fee on top of our rates. We suggest 20 percent: enough to be a real revenue line, low enough that booking through you stays the best deal anywhere. You can bill it, or we can bill it back to you.

2 hr minimum + $0 travel fees + shared premium services + your 20% on top = still cheaper than booking us direct
your people win

Better rates through you than hiring us on their own, even after your markup.

your event wins

A revenue line on a program that costs nothing to run, plus the content on top.

we win

A full room of clients in one building. That scale is what pays for everyone's rates.
